Regional Administrator (Burscough) Job

The Role:
GENERAL DESCRIPTION



The Regional Administrator is responsible for the overall day to day administrative operations of their assigned region(s).



1. DUTIES AND RESPONSIBILITIES



1.1 Complete all reception duties including phone answering, greeting walk-ins and relaying messages and mail processing



1.2 Complete daily Job Costs (JC) and weekly JC summaries



1.3 Complete weekly invoicing of all jobs after Operations Manager and Account Manager approval of the JC



1.4 Send all invoices with complete back-up documents to the customer after Regional Manager approval



1.5 Track accounts receivable by contacting all customers regarding outstanding invoices



1.6 Assist local employees with HR form completion and job paperwork



1.7 Complete local payroll and employee expense administration weekly



1.8 Maintain personnel files



1.9 Enter sales orders and create sales order templates for all new jobs



1.10 Update Job Projection Sheets (JPS) with all sales orders as directed by the Regional Manager



1.11 Ensure electronic delivery of all job related paperwork to the Quality Management Center (QMC)



1.12 Support sales staff including correspondence preparation and customer service



1.13 Create and manage all job files ensuring all documentation requirements are met



1.14 Track company assets within the region



1.15 Enter purchase orders and all accounts payable bills after appropriate approval



1.16 Prepare and send the weekly corporate package



1.17 Order and maintain all office supplies



1.18 Update the VISA usage log for all purchases



2. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED



2.1 Three to five years of high level administrative experience



2.2 Post-secondary education in a related field



2.3 Accounting knowledge and experience using computerized accounting systems



2.4 Excellent computer skills in Word, Excel, Email, Internet



2.5 Superior communication skills



3. WORK EXPERIENCE REQUIREMENTS



3.1 Previous administrative and/or accounting experience an asset
